Setting up a Contract

PH Cloud benefits from a dedicated contracts section for scheduling and managing contracted accounts.
If you find yourself handling regularly scheduled travel, like school runs or recurring events, the Contacts feature may prove a suitable option.

Contract Creation

To create a new contract, navigate to the Contracts page, and then click on   

This will open a new window, where you are able to input the basic details regarding the contract, such as the customer information and contract duration
Select the period that the contract will operate over. (This information is not mandatory and can be setup from within the individual tour items).



Alternatively, search for an existing account by selecting from the list of most recent accounts or typing the name in the search field.

Adding a new contract item

Once you have created your contract, you will be automatically redirected into the contract that you just created. From here, you have the ability to set up the actual contract items on this contract. The ability to create multiple contract items allows you to easily keep track of multiple jobs for the same customer that need to be treated separately.


  1. To add a new contract item, click on the blue 'Add Item' button.

Item Information



Enter a name for your newly created contract item, and a date range that it will operate over


Creating a Pattern

Patterns define how frequently the job is executed for the contract, such as daily, on a specific day in a week, on a specific day in a month, or on a specific day every X number of months.


To define a pattern, click on the dropdown for 'Occurs' and select the frequency.
Additionally, exclusion patterns can be set up to define specific date ranges when the contract should not be active. This feature allows you to customize contract durations based on factors like seasonal variations, public holidays, or specific business needs. By implementing exclusion patterns, you eliminate the need for manual adjustments or constant intervention to align the contract with changing schedules.
