Creating a new job




Job Creation


1) Setting your start and finish points

To begin, set your intial start and finish points for each coach. This can be done via two different methods, depending on your requirements:

Selecting from Depot

Select from the dropdown box, a list of your predefined depots. Additional depots can be setup from within Settings -> Depot




Manual entering

Alternatively, by clicking on the icon, you are able to type directly into the start and finish points. As you type, the system will offer address suggestions. Once the correct address is displayed,
select it to confirm that address.



2) Set the Customer's Pickup and Arrival location

Next, type the desired locations into the designated boxes. As you type, the system will offer address suggestions. Once the correct result is shown, click on it to confirm. This will then update the map to display the new route.




Additionally, you are able to visually assign or move pickup points on the map. To do this, click on the icon. Then, expand the map by clicking on . You are then able to drag and drop the selected pickup point to any position. Ensure you click the "Update" button after finishing moving the points to ensure that your changes are saved.



3) Set the pickup times

Now that you've added all your points to this job, the next step is to add the pickup times. If you have a fixed time that has been given to you by the customer, or by external time constraints, set that time first. For example, if the customer as requested that they be picked up at 10am, select their pickup point and the time of 10am.

From here, you have two options for inputting the rest of your times:

Automatic timing










Automatic timing is carried out by the PHCloud system, which will automatically try to calculate the estimated time the coach will reach each of the points on it's journey. This is useful if you're carrying out a simple route, where the coach will arrive at it's destination to pickup the passenger, transport them to the destination, and then drive back. If additional steps are needed, such as waiting for a period of time prior to picking up the passengers, or making sure that the coach has arrived X minutes before the passengers have requested that they be picked up, then setting up the timings manually may be more suitable

Manual timing

Manual timings can be applied to each of the point on the job by clicking on the time selector, and going through the list one at a time and making sure each point has a time associated with it.

Please note: If you manually specify a time and then initiate an automatic retime, any manually entered times that differ from the automatically calculated times will be overwritten.



Other Job settings

In addition to the steps outlined above, the PHCloud system offers several additional options to further enhance the job creation process. These steps are not sequential steps, but rather functionality you can utilise as needed. You are able to access the additional job settings by clicking on the  icon and selecting from the following options within the dropdown:

Clone Job

If you need to set up two trips for two coaches traveling to the same destination with minor differences, you can use the 'Clone Job' feature. This option duplicates the existing job, allowing you to make slight modifications to accommodate the variation. It is a convenient way to create similar trips without having to enter all the details from scratch.

Additional Pickup Points

For jobs that require multiple pickup and dropoff points, select the 'Additional Pickup/Dropoff' option. The system will create a separate section to enter the details of each additional pickup and dropoff point, enabling comprehensive job planning for complex itineraries.

Additional Pickup/Dropoff Points

In situations where your job requires multiple pickup and dropoff points, you can utilise the 'Additional Pickup/Dropoff' option. By selecting this, PHCloud will create a separate section for you to enter the details of each additional pickup and dropoff point. This functionality ensures comprehensive job planning for complex itineraries.

Additional Vehicle

If your trip involves multiple vehicles, PHCloud allows you to add an additional vehicle to the job. This option is especially useful when you need to assign different vehicles and drivers to each vehicle making the journey. By clicking 'Additional Vehicle' the job will be duplicated within the item on the contract and displayed as two entries within the diary. This flexibility facilitates efficient management of diverse vehicle assignments.

Add Return Journey

For trips that require a return journey, such as when you drive passengers to a destination and then bring them back afterward, you can use the 'Add Return' feature. Clicking this option will add a return journey section to the job. This is particularly applicable to events like weddings or school swimming trips. However, if your journey involves a significant time gap during which the coach will be engaged in other trips, it is recommended to create a separate job for the return journey instead of using the return feature.

Return to Base

If the driver is to return to the depot after arriving at the destination, there is an option to complete the job as 'Return to Base'.  To select this feature, first select the Add Return option from the blue 'New' button drop down menu.  Once the return has been added to the route, select the same button again, there will now be an option for 'Return to Base'.  Once selected, the return section of the job will be removed and the job completed. Adding another job to the booking will now be labelled as Job 2, starting again from a new position.
