Diary View


The diary view feature provides a convenient and centralized location where you can easily access information about vehicle departures, destinations, assigned drivers, job progress, and customer details. By default, this page displays all vehicles scheduled to depart on the current day.



Views

Views allow you to customise and edit your diary, ensuring that you're only viewing what is relevant to you in that exact moment. The primary features are the ability to filter based on date, job type and driver and job scheduling/timelines.


Time Views

 

Time views allow you to visualize bookings, contracts, and events either on specific dates or within a specific date range.
  1. Calendar Selector: Click on the calendar and select the desired date.
  2. Date Skipper: Use the arrows to navigate forward or backward by a single day in the diary.
  3. +1 / +7 / +31: Click to view 1, 7, or 31 days' worth of activities within the diary (default selection: +1)


Job Views

The  job view allows you to filter out specific types of events within your diary.

  • Booking: This view exclusively displays bookings, allowing you to concentrate on upcoming reservations and their details.
  • Contract: By selecting this view, you can narrow down your focus to contracts, making it easier to manage long-term agreements and associated tasks.
  • Event: This view specifically showcases events, making it convenient to oversee and organize special occasions and important gatherings. For detailed instructions on setting up new events, please refer to the guide [here].
  • All: Opting for this view displays all items, including bookings, contracts, and events, providing a comprehensive overview of your schedule.

Resource Views:


The resource timeline view provides a comprehensive timeline that showcases the activities of drivers, vehicles, and jobs. It allows you to track the locations and progress of your resources. In this view, red error bars signify time that the coach has time when the coach is traveling between the start and finish point.


Jobs

The Jobs section, by default, displays a list of all jobs operating on the current day. To expand the view and show job activity across a wider date range, utilize the +7 / +31 options.




Drivers

The Drivers section displays, by default, the schedules of drivers operating on the current day. You can modify the view using the +7 / +31 options to show job activity across a wider date range.


Vehicles

The Vehicles section displays, by default, the schedules of vehicles operating on the current day. You can modify the view using the +7 / +31 options to show job activity across a wider date range.



Vehicle and Driver assignment

By default, vehicles and drivers aren't automatically assigned to newly created jobs. The primary method of assigning drivers is through the diary view. However, it is also possible to set up drivers from within the booking itself. The primary benefit of setting up drivers through the diary view is that it allows you to bulk allocate drivers and vehicles to jobs while having a clear overview of all other jobs your vehicles and drivers are occupied with during the day.


Assigning Drivers and Vehicles

To assign a driver to a job, follow these steps:
  1. Open the diary view and click on the job you want to assign resources to.
  2. In the side panel that opens up, locate the "Drivers" dropdown and select the driver of your choice.
  3. Next, locate the "Vehicle" dropdown and select the vehicle of your choice.

Note: Once a driver has been assigned, the job needs to be sent to the driver's PHCloud Drivers app. To do this, follow these additional steps:

  1. For each job you want to submit to drivers, click on the checkbox next to it.
  2. Once you've selected all the bookings, click on "Bulk Actions" and then select "Send Jobs to Drivers.

Traffic Light System

Jobs aren't automatically submitted to drivers once they have been assigned to a vehicle. Instead, they are marked using a traffic light symbol to indicate their status. The colors of the traffic lights and their meanings are as follows:
  • Red: A driver has been assigned to a job, but they haven't received it in their Driver's app yet.
  • Orange: A driver has received the job in their driver's app but hasn't accepted it yet.
  • Green: A driver has received and accepted the job in their driver's app.
