This article will show you how to quickly add your vehicle fleet and drivers into PHCloud.
Once added, both drivers and vehicles can then be assigned at the booking process or within the diary.
In addition you can also schedule diary events, to avoid unnecessary allocations.
Located on the main menu bar on the left-hand side of the browser window is a heading call resources.
Select the drop-down arrow to expand this section.
Managing Vehicles
Select the Vehicles option to open the page.
Within here, you can add and edit your vehicle fleet.
Additionally, you can also assign events by a scheduler, for example MOT, which will then appear within the diary.
To add a new vehicle, select the blue 'Add new vehicle' button at the top right-hand side of the page.
To start, select a vehicle type from the drop-down list.
(By default, there are three to choose from Executive, Simple, Standard. You can add or edit these from the settings menu > Vehicle Types)
Complete the remainder of the form and select the green Save Vehicle button.
If you do not wish the vehicle to be displayed for use, uncheck the Active field first.
NB: If there is a drop-down list, this can be added to or edited via the Settings menu
Editing Vehicles and Creating an Event
From the home page, select a vehicle from the list to edit it.
By default, this list shows the most recently added at the top, although you can also filter this list by Active, Registration, or Capacity.
Here you can edit any of the vehicle details entered and save using the green save vehicle button at the top right of the page.
Creating an Event
To create a vehicle event, for example booked in for an MOT, select the Schedule option at the top left of the page.
You will then be presented with a calendar, click on a date and a content menu will appear on the right.
Booking categories can also be assigned to the event from the drop-down list. (settings > booking categories)
Enter the name and select the time period the Vehicle will be participating in this event and save.
The added event will now be displayed in the Vehicle schedule and also be transferred to the main diary.
To remove the event, select it again in the scheduler and click on the red Delete button.
Managing Drivers
Select the Drivers option from the Resources section of the menu.
To add a new driver, select the blue Add New Driver button at the top right of the page.
Similar to the vehicle section, complete the form using the drop-down menus or free typing.
Once completed, select the green save button.
If available with your plan, you can invite the driver to set up a drivers' app account, by selecting the blue create account button.
Select the desired account role, Driver (no access to Ph Cloud) or Driver with additional access (edited in the settings under Roles) and then check the box to send an invitation.
Editing Drivers and Creating an Event
From the home page, select a Driver from the list to edit it.

Here you can edit any of the driver details entered and save using the green save vehicle button at the top right of the page.
