Applying Travel Cost Estimations to a Quote

How to apply distance & time based cost estimations

PH Cloud has the facility to create an estimation for Vehicle and Fuel costs, when creating a quote.
This article will explain how to set up and apply distance and time based cost estimations, to assist with the overall quotation. 

Creating cost types

Before viewing the cost estimation in the quote, the cost types require set up. 
Located by the Settings option on the menu bar are the Cost Types, categorised by Distance and Time



From here, either add a new cost type, by selecting the blue 'Add Cost Type' button, or edit an existing cost type using the green pen icon.



Applying to the Vehicle Type

Once created, still within Settings, select the 'Vehicles Types', option under Categories & Types.

Each Vehicle type within this section can now have the cost types applied to them. 
Select a vehicle type and from the top menu you have the option for Time Based and Distance Based Costs



When selected, on the right-hand side, you can add any of the cost types you have created by selecting the blue 'Add' button.
Apply the estimated cost that will form part of the cost calculation for the quote.

You can add cost types to any vehicle, using a combination of both distance and time

The same options are also available to the Driver Types should you require it, also located under Categories and Types

Creating a cost estimation within a quote

Now the cost types have been applied, when creating a new or viewing an existing quote, select the Costs option at the top of the page. 
An estimated quote is created based on the cost types entered for both the distance and time categories, as shown below.



If no breakdown is displayed, check that the vehicle type is added to the quote at the top of the form, in order to view the correct estimation.
(The same applies to the driver if this category type is used)

The Markup Percentage and Price can also be manually updated, using the free type text field. 
A calculation is then automatically applied to adjust the total cost or markup percentage, based on the revised numbers.



When happy with the figures, selecting the green 'Use this price' button will apply the costs to the Quote.
