Room Alias

The alias feature within t3 is used where you want to sell a tour with accommodation, however the accommodation the passenger requires is not available but you do not want to lose the sale.

You can sell another type of room as another room, for example you could sell a double room as a single room, if you have sold out of single rooms.

The passenger will be unaware of this, as the confirmation will state single room, only the rooms list that is sent to the hotel will mention the types of rooms.  If another single room then becomes available this can be amended to a single room rather than a double, and the passenger is none the wiser.


Configuring t3 for this feature

The alias feature needs to be enabled before it will work, this can be done within the settings:

Select Maintain --> Settings, then the Defaults tab.  In the left hand pane (Area Section) select System Defaults then locate ‘Enable Toom Alias’ and change to Yes then Save.




The feature will now be enabled, additional options through t3 will now be available and visible.


Using the alias feature

Please note: This function can only be used on a booking that has already been created, if you are currently on the creation of a booking and notice the rooms are not available( eg. No Single, but a Double is available), you need to select the one you wish to allocate the room to (ie A Double) – you can then make the alias after the booking has been created.

Within a booking, select the Passengers tab and a passenger out of the list that you want to place an alias against, the example below we have 4 passengers.

2 are going to be Single rooms the others will share a twin room, however as there are no single rooms available they will require 2 double rooms assigned to the booking as a single room.




Once you have highlighted the passenger you wish to place an alias against, select ‘Reclaim Room’ and perform this to both passengers you wish to amend.




You will notice the Accom column is now empty for those you have reclaimed the rooms from the other two keep the Twin Room.

Now select the ‘Accom Stack’ button, this will let  us assign a room to the passengers we have reclaimed the room from, however this time we will assign an alias.

This new window will have an additional button, that is available when Alias is enabled through setting this is the ‘as >>’ button .




Select an accommodation type from the left window, this will be the actual room that is being assigned to the booking rather than the passenger requested room.  In this example we would select Double (You will notice Single has no stock available and this is why an alias is required).  Now you can select the ‘as >>’ button, highlighted in red within the image.

The next window allows you to select the alias of the room; this is the room that the passenger has requested, this can be confirmed with OK.




You can then highlight this room, select Allocate Room and assign to the correct passenger, then confirm with Save.





One you have confirmed these, you can then perform it for the next passenger(s) if you have any further you want to amend. 

You will now notice that within the Passenger, Booking Window the Accom column will show the actual assigned room.  The column next to this is called ‘Sold As’ and shows the alias, the actual room the passenger has requested.

 


Reports

The confirmation report will not show any difference what-so-ever and will show as though the room is a single room.  This is to ensure the customer is not then expecting a double room, when they are then assigned a single room as one has become available.

Within the rooming list we can place the alias within the report, to show an alias has been assigned to the accommodation.
