Taking online payments : Payment Provider Trust Payments
A recently integrated feature in PH Cloud allows the user to collect payments online, through one of our payment provider partners, Trust Payments.
A fully auditable record is logged for each payment, including refunds and payment allocations by account.
Initial set up will be required by the Roeville support team.
Payments within a booking
Within a booking, select the Payments option from the top menu.
A list of previously taken payments, including the date, payment method and user, are listed on the first page.
The blue Add Payment button, highlighted, opens up the Payment Collection form.
Select the payment method Credit / Debit Card from the drop-down field, to display the following form.
If enabled for Online payments, the Trust Payments logo will appear at the top of the form
If a refund is required, use the checkbox to open up the refund form and select the required amount from the listed payments
An over payment collected from the customer will be allocated directly to the account.
Allocated Payments on Account
Allocated account payments can be managed, directly from the customer account, selecting the Allocations option from the top menu or from the Financial Section under Receipts.
Payments taken online will have a 'Recycle' Symbol displayed alongside, as shown below.
Selecting this symbol will open up a refund form, with a breakdown of the current allocation.
1. The payment originally collected on the booking
2. The amount allocated to the booking at the time of collection
3. The allocation amount remaining on the customer account
4. The amount that requires refunding back to the customer
Allocated funds on the account that you wish to refund back to customer can be processed by selecting the Refund Button.
