PH Cloud & Drivers App - t4 Tours Link
A new feature available in t4, allows any tour created to be automatically added into PH Cloud, Roeville's cloud based Private Hire software platform.
This is a real time link that allows the operator and driver to manage tour data between t4, PH Cloud and the drivers app.
Creating a New Tour
For newly created tours, it is a simple matter of selecting the Auto Reserve Coaches check box on the Departure Tab of the Create New Tours form.
On completion of the tour, you will be asked to select a Start Point and Destination for the tour, which will form the basis of the tour within PH Cloud.
Start typing the Start/Destination and the name will dynamically appear in the drop-down list to select.
Once both the start and destination point is entered, select the Complete button to export the tour into PH Cloud.
Exporting an Existing Tour
For tours that have already been created in t4, you can export into PH Cloud via the Tour Services menu.
Search for the tour you require to export using the date fields and then Right-Click on the tour from the list available.
Select Reserve Coach from the options available.
You will then be presented with the Start / Destination form in the same format as seen when creating a new tour (see Creating a New Tour)
Enter the Start / Destination points and select from the drop-down list and complete.
You will be presented with a PH Cloud booking reference, to indicate that the booking has been created and successfully linked.
All bookings linked to PH Cloud will then have the booking reference in the Tour Services table, which can be filtered using the PHCloud Linked filter.

Within PH Cloud you will notice any bookings imported will be created with the tour name in the description field.
There is also a new tab called T4, which will display the headline details of the tour imported.
Configuration
The account name you wish the tours to be loaded against, along with the booking status and account details, can be configured from the Company Profile section of the settings menu.
Drivers App
The tour can be pushed to the drivers app, in the same way as any other job.
Within the app the driver will notice two additional tabs called Tour and Itinerary when the job is open.
Tour by Seat No displays a list of Passengers by seat number and a contact number.
Selecting the Phone icon allows the driver to call the passenger, if a contact number is included.
Selecting the Pickup tab displays a list of passengers by Pickup point and time.
The driver can confirm collection or mark any no shows as the passengers embark, sending a real time update to operations.
The final tab is the Itinerary, which will display the full itinerary as loaded against the tour in t4.
Additional features coming soon include real time coach tracking and third party supplier usage.
